Academy Suspension, Closure and Data Deletion
Version 2026-10-15, in force from 15 October 2026
This policy explains when an academy on Paatya may be paused or closed, and what happens to its data. It forms part of the Terms of Service.
1. When the balance runs out
When an academy's balance runs out, a short grace period follows. After it, videos and new learners pause until the academy recharges. Nothing is deleted. Everything comes back as soon as the academy recharges.
2. Academies that were never used
An academy that is set up but never funded and never used is let go in stages:
- After 7 days we email the owner to remind them the academy is there.
- After 14 days we pause the academy. Nothing is deleted, and the owner can bring it back.
- After 30 days we close the academy and release its address.
An academy that has been funded, or has courses or learners, is never closed this way.
3. Suspension
We may suspend an academy that breaks the Terms of Service or the Acceptable Use Policy, puts others at risk, or leaves invoices unpaid. Where we can, we tell the owner first and say why. A suspended academy's data is kept while the suspension is resolved.
4. Closing your academy
An academy owner may close their academy at any time by writing to support@paatya.net from the owner's email address. Before it closes, the owner may ask for a copy of the academy's courses, learners and records. Unused paid credit may be refunded as described in the Refund and Cancellation Policy.
5. Course payments when an academy closes
If the academy sold courses online:
- Its courses stop being sold when it closes, or when it is suspended.
- Refunds still owed to learners under the terms they bought under are paid. Transfers to the academy that have not been made are completed, or held where a refund or dispute is open.
- Whatever a refund costs that the academy's share cannot cover is taken from its remaining balance.
- Its course orders, receipts and refunds are kept as payment records, as described below.
6. What happens to data after closing
- The academy's website and sign-in stop working when it closes.
- Its courses, videos, files and learners' personal data are deleted within 90 days of closing, including from backups as they expire.
- Tax invoices, payment records (including learners' course purchases and refunds) and the records needed to show who accepted our terms are kept for as long as the law requires, which for tax records is usually 8 years. They are not used for anything else.
- Where the law requires us to keep something longer, for example in a legal dispute, we keep only that and only for as long as needed.
7. Learners
A learner's account belongs to their academy. When an academy closes, its learners' accounts close with it. A learner who wants their data deleted sooner should ask the academy, or write to support@paatya.net.
