How enrollment works

What an enrollment is, and its statuses.

An enrollment is a student's place on a course. A student can only open the courses they are enrolled on.

Students, courses and enrollments

Think of it like a class register:

  • Your students are the people in your academy.
  • Your courses are what you teach.
  • An enrollment connects one student to one course.
Academy
├── Course: Python Programming for Beginners ← Meera, Aarav
├── Course: Tally Prime with GST ← Meera
└── Course: Advanced Excel for Office Work ← (nobody yet)

Here Meera has two enrollments, Aarav has one, and Advanced Excel has none. Adding a student to your academy does not put them on any course. You enroll them separately, either while adding them or later.

Who can enroll

  • You enroll students. If your academy takes payment offline, which is how every academy starts, you collect fees however you do today and enroll the students who have paid.
  • Students who buy a course are enrolled for them. If your academy sells courses online, a student who pays for a course is enrolled as soon as the payment is confirmed, with the course's default access period. You don't have to do anything.
  • Free courses are the exception. A student can start a course, or the free part of one, from Free courses. That gives them free access: only the free lessons open. When you enroll them, or they buy the course, it becomes full access, with their progress kept. See Free courses and free lessons.

Enrollment statuses

Paatya works out the status from the student's progress. You never set it by hand.

Status What it means
Not started Enrolled, but they haven't opened anything on the course yet.
In progress They have started at least one topic. The Enrollments page counts these as Active.
Completed They have finished every topic that counts towards completion.

When an enrollment reaches Completed, the student gets their certificate automatically.

What the student can see

  • A student sees a course only when it is Published. You can enroll students on a Draft course, but it stays hidden from them until you publish it.
  • Inside a course, students see only published topics.
  • If you archive a course, it disappears for its students, but their enrollments and progress are kept.

Start dates

When you enroll students in bulk, you can pick a Start date. The date is saved and mentioned in the enrollment email.

Note: A start date does not lock the course. Students can open it as soon as they are enrolled and the course is published. If a course must stay closed until a date, keep it in Draft and publish it on that day.

A batch is different: it opens on its own start date and closes after its end date and extra days, for everyone in it. See How batches work.

Access end dates

Each enrollment can have an end date: the last day the student can open the course.

  • The student can use the course up to and including that day, counted in your academy's time zone. From the next day it disappears from their courses on the website and in the apps. If they open an old link, they are told when their access ended.
  • Nothing is deleted. Their progress, quiz attempts and any certificate are kept. A certificate they earned stays on their Certificates page and can still be downloaded.
  • To give the course back, set a later end date, or remove the end date. They pick up where they left off.
  • To end access early, set an end date in the past.
  • Students are reminded 7 days and 1 day before their access ends, by email and in the app. They can switch this off under Course deadline reminders in their notification settings.

Where to set it

  • When enrolling in bulk: Access until.
  • On a course: Default access period, in days. New enrollments then get an end date automatically, counting the first day: 30 days from 1 March ends on 30 March. This applies to bulk enrolling and to courses ticked on the student form or in a CSV import.
  • For enrollments that already exist: on the Enrollments page, choose Change end date from a row's menu. To change several at once, tick the rows and click Set end date. You can also click the calendar button on a course in the student's Enrolled courses tab.
  • To find enrollments whose access has ended, filter the Enrollments page by Access: Ended.

Taking a student off a course

Removing an enrollment deletes the student's progress and quiz attempts on that course. You can't undo it. If the student has earned a certificate for the course, the enrollment can't be removed. See Track and remove enrollments.
